SPECIAL NOTIFICATION:  This position is exempt from classified state service and the rules of the Division of Human Resources and the Idaho Personnel Commission.

The Idaho Wheat Commission is seeking
a part-time (25 hours per week) Office Manager.


Scope of Position:

The Office Manager is generally the first point of contact for telephone and walk-in guests, and for mail and deliveries to the IWC.  The Officer Manager is in charge of the IWC business office which includes the monitoring of finances, preparation of financial reports, staff payroll and benefit management, accounts payable and receivable, record keeping, and periodic advice to staff and board members on payroll and benefit issues.  The Office Manager also oversees the office equipment, purchases office supplies, and assists in resolving building-related issues with tenants.

Principal Duties and Responsibilities: 

  • Answers phones and acts as receptionist.  Greets visitors and receives mail and deliveries.
  • Prepares monthly financial statements for review by the executive director and board members.  Receives and verifies all billings, and prepares checks for signature.  Monitors cash balances in IWC accounts and reconciles monthly bank statements.  Monitors payables and receivables accounts.
  • Manages payroll functions and stays up-to-date on payroll law.
    • Files state and federal payroll tax reports
    • Files state and federal unemployment insurance reports
    • Handles year-end tax statements (W-2 & 1099)
    • Provides information to staff and commissioners on policies & benefits
  • Maintains the files. Organizes, cleans and archives files according to state rules.
  • Makes meeting and travel arrangements for staff and commissioners. 
  • Produces forms, documents, letters, and reports.  Prepares Memorandums of Agreement.  Records minutes of meetings.  Assembles meeting books.
  • Oversees the maintenance of office equipment.  Purchases and monitors inventory levels of office supplies.
  • Maintains producer name and address database. 

Qualifications: 

  • Must be proficient in QuickBooks 
  • Must be proficient in Microsoft Office products, particularly Excel, Outlook, Word and Access
  • At least 2-5 years bookkeeping experience 
  • Strong organizational skills and attention-to-detail 
  • Excellent customer service skills 
  • Ability to communicate orally and in writing with a wide variety of clients
