SPECIAL NOTIFICATION:  This position is exempt from classified state service and the rules of the Division of Human Resources and the Idaho Personnel Commission.

As an Administrative Assistant, you will perform a variety of administrative support activities for our Policyholder Services department, reporting directly to the Assistant Fund Manager of Policyholder Services.

You'll be responsible for:
  • Developing general correspondence, memos, charts, tables, spreadsheets, and presentations using Microsoft Office’s suite of products.  Proofreading copy for spelling, grammar, and layout, making appropriate changes.  Responsible for accuracy and clarity of final copy.
  • Scheduling and organizing meetings and department activities for all members of the department.
  • Developing, maintaining, and updating filing systems for the department (filing systems may be electronic or paper).
  • Acting as a liaison with other departments and outside vendors, organizations, agencies, and policyholders.
  • Handling confidential and non-routine information in an appropriate manner on a regular basis.
  • May act as the project coordinator on special projects.
  • Completing other duties as assigned.

Your background should include:

  • Bachelor’s degree in Business Administration, a related discipline, or the equivalent combination of education and relevant business experience.
  • Three+ years’ experience working in an administrative support position preferred.
  • In-depth experience working with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Typing/keyboarding 40 wpm.
  • Strong knowledge of rules of effective business language usage, spelling, grammar, and punctuation.
  • Strong attention to detail and a high level of organizational skills.
  • Experience organizing and completing multiple projects with varying deadlines.
  • Excellent interpersonal communication skills and the ability to work effectively with all levels of internal management and staff as well as individuals outside the organization.
  • Ability to appropriately handle confidential information.
  • Ability to complete work assignments independently with minimal supervision.
