SPECIAL NOTIFICATION:  This position is exempt from classified state service and the rules of the Division of Human Resources and the Idaho Personnel Commission.

The Idaho Department of Water Resources (IDWR) has an opening for an Administrative Assistant 2 supporting the Agency Director 

This position reports to the Director and performs special projects, supports other agency executives, and supervises the front office operations and staff.

Primary Responsibilities:

  • Perform complex secretarial, office administration, and public relations assignments.
  • Coordinate administrative activities requiring contact with executives, the public, other agencies and governmental officials.
  • Function independently by exercising discretion in applying policies and procedures and utilizing extensive knowledge of department programs.
  • Research, analyze, and compile information to prepare reports, handle complaints, or resolve problems.
  • Compose correspondence for the Director regarding a variety of sensitive, confidential, official, and legal matters.
  • Review and verify accuracy of financial and reimbursement documents.
  • Supervision and light coverage for front office customer service/reception staff.
  • Handle sensitive information related to personnel matters, Department policies, and budgets.

Required Knowledge and Experience:

  • Good knowledge of office support functions including word processing, filing, composing a variety of business documents and customer service.
  • Must have strong Microsoft Office skills (Word, Excel, Outlook).
  • Experience researching, compiling and summarizing data for reports.
  • Experience interpreting, applying and explaining information such as regulations, policies, or services.
  • Experience solving problems independently.
  • Experience coordinating activities requiring complex arrangements.
  • Experience balancing a workload and coordinating multiple priorities.
  • Experience storing, retrieving, and/or compiling information in a report format using database or word processing software programs.  
  • Excellent written and verbal communication skills.
  • Strong proofreading and editing skills.
  • Attention to details.
  • Able to maintain confidentiality.

Desired Knowledge and Experience:

  • Exemplary customer service skills; ability to de-escalate tension.
  • Set priorities for own projects within the general framework of deadlines.
  • Good knowledge of the principles of supervision.
  • Ability to work autonomously.
  • Ability to work with and relate to a diverse group of constituents.
  • Experience taking minutes of meetings and transcribing minutes and/or tapes into written format.
  • Experience with legal writing formats and editing legal documents.
  • Some knowledge of state and local government structure, functions, and decision-making processes (specifically, Executive and Legislative Branch processes).
