This announcement will be used to fill the current opening at Idaho Career & Technical Education - ICTE.  This position will serve as the assistant to the Administrator, Deputy Administrator, and Chief Fiscal Officer.

Principal Responsibilities:

The incumbents are a part of the executive team and participate in management decisions. They have administrative decision making latitude and serve in a leadership role with the freedom to act on and implement the decisions they have made. They are recognized by others as having the authority and accountability delegated by the administrator when responding to inquiries, resolving complex problems or issues, or committing department resources.

This position requires in-depth knowledge of the organization in order to manage a single program or multiple projects by:

  • Interpreting and applying policies and procedures related to the mission of the agency.
  • Composing official correspondence, reports, research papers and other complex business documents.
  • Responding to sensitive or controversial issues that require interpersonal skills and handle sensitive or confidential matters.
  • Coordinating calendars and meeting logistics including travel arrangements.
  • Taking and compiling minutes from meetings, both internal and external.
  • Managing special projects.
  • Performing various administrative duties for the agency.
  • Helping coordinate the activities and coverage of agency support staff. 

Minimum Qualifications:

Experience:

  • Interpreting and applying regulations or policies and procedures.
  • Planning, organizing, implementing, and evaluating special projects.
  • Independently researching, compiling, developing and summarizing material for reports on a frequent or recurring basis.
  • Analyzing information, identifying problems, defining alternatives and developing recommendations for management/administrators.

Required Specialty Areas:

  • Some knowledge of: supervisory practices; management practices; financial record keeping methods.
  • Good knowledge of: computer applications; planning and scheduling techniques for a specialized program, chief executive, administrator, or other executive officer of a company or organization.
  • Experience: performing accounting/financial record keeping duties; using three or more commonly used computer applications in a job setting; coordinating events; using presentation software such as Power Point; composing official correspondence, reports, research papers and other complex documents for an administrator, director, or member of senior staff; managing budgets (including responsibilities for monitoring budget balances, approving expenditures, reconciling monthly statements, and providing input for budget development); working with confidential materials and information.

The following are preferred and may increase your score on the examination:

  • Experience interpreting and explaining specialized or complex material in a way usable by the public or other stakeholders.
  • Good knowledge of the legislative process.

Preferred candidates will have:

  • High level communication skills with a variety of stakeholders including State Board of Education, Governor, Legislature, College Deans, Secondary Administrators. 
  • Experience providing administrative support to management.
  • Some knowledge of personnel administration.
