  The Idaho State Department of Agriculture is currently recruiting for an Office Specialist II in Idaho Falls in the Agriculture Inspections Division. If you have already applied under announcement #01239042793, you are still being considered for the position and do not need to apply again.

Key Responsibilities:

  • Gather information from contract/dockside worksheets
  • Make decisions on the proper contract/dockside set-up
  • Using a 10-key, calculate contract/dockside data for entry into the SPI program
  • Review program calculated data for discrepancies
  • Print contract/dockside worksheet and certificate
  • Review contract/dockside certificate for accuracy and sign
  • Run contract/dockside transmittal reports and check for accuracy
  • Run posting reports for contract/dockside checking for accuracy
  • File contract/dockside certificates and reports in the appropriate file, both hardcopy and electronic
  • Maintain contract/dockside certificate accountability
  • Review contract/dockside invoices for accuracy prior to printing
  • Finalize and print invoices, fold and stuff into envelopes for mailing
  • Enter fresh and seed certificates into the SPI program
  • Run fresh transmittal reports and check for accuracy
  • Prepare information to be relayed to Market News
  • Run posting reports for fresh/seed checking for accuracy
  • File fresh/seed certificates and reports in the appropriate file, both hardcopy and electronic
  • Maintain fresh/seed certificate accountability
  • Review fresh/seed invoices for accuracy prior to printing
  • Finalize and print fresh/seed invoices, fold and stuff into envelopes for mailing
  • Answer phone
  • Resolve problems
  • Respond to inquiries
  • Utilize independent judgment and discretion as to the methods, policies, and procedures used to complete assignments
  • Conduct involved searches which may require accessing and selecting multiple information sources
  • Contact with clients, vendors, or outside sources to obtain information
  • Perform specialized support work that involves an extensive in-depth knowledge of the program
  • Review, evaluate, approve, and process records and/or documents
  • Determine acceptability or conformance to eligibility requirements according to rules, regulations, statutes, and program policies and procedures
  • Explain requirements, processes, and procedures to customers
  • Manipulate and update manual and/or computerized records systems
  • Off-site grading and inspection duties as needed

Minimum Qualifications: These qualifications are mandatory requirements.

  • Good knowledge of rules of effective business English usage, spelling, punctuation, and grammar.
  • Experience using alphabetical, numerical, or subject filing systems to include determining file names, setting up new files, classifying, labeling, filing, and retrieving.
  • Experience reviewing documents for compliance with established procedures.
  • Experience using a computer to enter and retrieve information.
  • Experience answering a business telephone using knowledge of business telephone procedures and etiquette.

Specialty Qualifications: These qualifications are mandatory requirements.

  • Microsoft Word Processing Software. Experience creating mass mailings using mail merge functions and creating documents using columns and tables to display text and data using MICROSOFT WORD or an equivalent word processing software.
  • Microsoft Excel. Experience using spreadsheet software such as Microsoft Excel to create and modify electronic worksheets and design and print graphs and complex data analysis using tools such as Pivot tables.
  • Experience using basic math skills to add, subtract, multiply or divide whole numbers. This is typically met by successful completion of a high school or equivalent math class OR six months of experience on a job using these skills.
  • Ability to keyboard/type at the rate of 40 net wpm or more.
  • Experience operating a 10-key by touch.

Temporary appointments from this announcement, serving at least one thousand forty (1,040) hours of continuous service, may be hired as an entrance probationary employee without further examination for the same classification and location as announced. 


Part 1 - Minimum Qualifications (Pass/Fail). Part 2 - Multiple-Choice Written Exam (100%). If you meet the minimum qualifications as shown in Part 1, you will receive a Pass score and can then take Part 2 (the online written examination). You must receive a Pass on Part 1 and a minimum score of 60 on Part 2 in order to be put on the register for these positions. Both Part 1 and Part 2 must be completed by the closing date of this announcement.  Notification of your test results will be available online once you have completed each part of the exam.

The multiple-choice written examination (Part 2) for this position can only be taken once every three months. Once you apply and take the exam, you can reapply when your score expires. At that time you will need to retake the written examination.

This is a timed exam.  You will have 60 minutes to complete this exam.  It is recommended that you do not start this exam if there is a chance you will be interrupted.  Once you hit the start exam button, your time will continue to count down until your 60 minutes is up.   If you do not complete the exam within the 60 minutes, you will have to wait until your three months is up before you can take the exam again.
