Position Overview

This position will be responsible for a variety of functions related to advising and student services within the College of Business and Economics. Responsibilities include, but are not limited to the following: act as the primary point of contact for COBE Advising and the alternate point of contact for the MBEB facility, manage events and calendars for all COBE Advisors, provide technical and administrative support to COBE Advising, assist in managing student employees, and complete all other duties as assigned.

This position is full-time, Monday – Friday, 8:00 AM to 5:00 PM.

The COBE Advising Administrative Assistant serves as the face of COBE Advising, and is often the first person students get to interact with from the College of Business and Economics; therefore, customer service skills must be exemplary in our rapidly moving office environment. Candidates must showcase reliability, excellent communication skills, attentiveness to detail, discreteness and confidentiality, etc.

Essential Duties and Responsibilities

  • Coordination of all administrative office functions and special projects (as assigned)

  • Research, analyze, and compile information to prepare reports, handle complaints, or resolve problems

  • Handle and observe all budget expenditures for 3 separate department IDs

  • Make and arrange all office purchases (from office supplies to travel)

  • Retain a good foundation of COBE knowledge to help answer basic/specific questions

  • Compose correspondence for supervisor (or other COBE Advising Staff members) on own initiative or from general instructions

  • Resolve issues that arise relating to customer service, budgets, scheduling, and special projects

  • Direct students/guests (as needed) to the appropriate department

  • Listen to student inquiries, respond timely and professionally, and transfer and/or escalate when appropriate

  • Communicate and coordinate schedules between students needing appointments, COBE Advising staff

  • Other duties as assigned

Minimum Qualifications

Good knowledge of office support functions including word processing, filing, composing a variety of business documents, reception, gathering and compiling data, and balancing and coordinating a workload for multiple projects.                                                                  


Minimum Qualifications and Extra Credit. You must earn a minimum score of 20 in order to be put on the register for this position. Notification of your test results will be available online once you have completed each part of the exam.
