Position Overview:

This position manages administrative and business functions for the Games, Interactive Media and Mobile (GIMM) program.  We are offering either a 9 month full time position for the academic year, or a part-time position for 12 months with flexible hours.   

The responsibilities for this position include providing exceptional customer support to internal and external customers, managing budgets, student peer mentor employees, communications, and support to a variety of GIMM projects and initiatives. The person in this role works with a variety of confidential and sensitive information, interacts with colleagues across the institution and beyond, and employs project management and interpersonal skills to contribute to an efficient, productive, and collegial environment. 

Duties and Responsibilities:

Monitor all GIMM program budgets (appropriated, local, and grants)

Authorize Expenditures, reconcile accounts, authorize budget transfers and set up new accounts

Advise the Director on a regular basis of budget and fiscal status, providing summaries and budget projections as needed

Represent GIMM on committees regarding HR, financials, and other business processes

Input and record financial transactions through the BSU Financial System, determine the appropriate account information (i.e., budget transfers, equipment requisitions, supply requisitions) and determining appropriate accounts to debit.

Manage all travel by GIMM faculty and staff using the online travel system including authorizations and reimbursements

Complete needed Human Resources forms and paperwork, including support for search committees, hiring student employees, and other routine personnel needs

Track software licensing and equipment needs for all GIMM labs, faculty, and student staff.  Initiates and coordinates updates as needed

Maintain inventory of existing lab equipment, office supplies and in consultation with the Director, purchase replacement supplies for GIMM program

Interpret and follow university policies and procedures to serve the needs of GIMM

Provide regular administrative support to the Director, faculty, and students of GIMM

Provide a first point of contact for inquiries, data requests, and issues related to GIMM

Manage the GIMM Director’s calendar

Provide coordination and administrative support for office projects and initiatives, to include scheduling meetings/trainings, and assisting in the preparation of agendas

Minimum Qualifications: 

Good knowledge of: office support functions including word processing; filing; composing a variety of business documents; reception; and researching, compiling, and summarizing data for reports. 

Experience: interpreting, applying and explaining complex information such as regulations, policies or services; independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements.
