Position Summary:

Provide exemplary, high-level, customer-oriented services to student, faculty, and administrative customers via email, phone, and person-to-person communication; Balancing competing needs of various constituencies,  within the confines of the Family Educational Rights and Privacy Act of 1974 (FERPA).


·         Assist in hiring, training, and supervising customer service team members.
·         Function in areas that include academic records, transcripts, certification, state residency, graduation, registration, scheduling, and transfer evaluation.
·         Maintain an in depth knowledge of, and be able to interpret, rules, regulations, policies and procedures.
·         Communicate and solve problems via email, phone, and person-to-person communication regarding academic policy and procedure as it affects the student academic record; customer base includes students, faculty, staff and alumni.
·         Oversee and conduct data entry into the SIS (Banner) to ensure proper maintenance and accuracy of student records, including, but not limited to, generating reports, analyzing student records data, communicating with appropriate constituencies, and ensuring updates are completed in accordance with policies, procedures, and/or standards to resolve inconsistent data; Evaluate student transcripts as necessary to troubleshoot and solve student registration, transfer evaluation, and graduation issues.
·         Responsible for enforcing Registrar's Office and University policy regarding various Enrollment Management functions.
·         Requires extensive knowledge of federal and state regulations concerning the privacy of student records and state residency determination.
·         Serve as a customer service representative of the Registrar's Office.
·         Provide high quality customer service in all aspects of the position.
·         Manage customer service area, including immediate supervision, training, and cross-training of Technical Records Specialists.
·         Determine work-flow and work priorities for the area; ensure good communication within the area, with the rest of the office, and with students, faculty, and staff.
·         Other duties as assigned.


  • Experience researching, interpreting and applying university policies and procedures demonstrating a considerable knowledge of transfer credit issues or graduation requirements.
  • Interpreting, applying and explaining university academic and vocational program requirements.
  • Compiling data and preparing reports.
  • Using on-line database systems.


·      The Department may show preference for previous experience in Higher Education and/or related bachelor's degree.
