Personal Computer Program for Wage and Tax Reporting for Employers


Download Unemployment Insurance Wage Reporting System, Version 3.1 (1.4 MB) (This download is not compatible with 64-bit operating systems, i.e., Vista)

(Download SETUP.EXE to your PC by clicking on above line. Run this setup program using the instructions shown below under "INSTALLATION". The setup program will place the Unemployment Insurance Wage Reporting System in a subdirectory on Drive C entitled \IDDOL\WAGES. It will also create shortcuts in Windows 95 or Windows NT. In Windows 3.1/3.11, it will place an icon, "Quarterly Wages", in a group entitled "Idaho Department of Labor".)

To Order Software on Diskette:

To get the Idaho Department of Labor's Unemployment Insurance Wage Reporting System sent to you on diskette, call Idaho Department of Labor Wage Unit at 208-332-3570 ext. 3427. You can also send an E-mail request to Nancy.Standish@labor.idaho.gov and include in the message your name, return address, and UI employer account number.

Idaho Department of Labor, Diskette Wage Reporting System, Version 3.1
  1. INSTALLATION

    Note: Do NOT install in the same directory as previous versions!

    1. Windows 3.1x
      1. Choose File Run in Program Manager
      2. Type: A:\SETUP and press Enter

    2. Windows 95 / NT
      1. Choose Start Run from the Task Bar
      2. Type: A:\SETUP and press Enter

  2. IMPORTING FROM VERSION 2.0

    1. Choose File Import from Version 2
    2. If the correct directory for your previous version is not shown, click Version 2 Directory to find it.
    3. Click Import

  3. BROWSE WINDOW

    1. Company Information

      1. The Tax ID for the current company is shown. Use the arrow buttons to move through multiple companies, if applicable.
      2. To add a new company, click the Add button next to the Tax ID display. Enter the company's State Tax ID and all other applicable data. You can use a current copy of the Unemployment Insurance Tax Report to complete this form. Click the Save button when finished.
      3. You may update the Tax ID number by clicking the Update button next to the current Tax ID. Edit the Tax ID number and the quarter where you want the change to begin. All subsequent quarters will be updated with the new Tax ID. Older quarters will keep the old Tax ID.
      4. To delete the current company, click the Delete button next to the current Tax ID. Confirm the deletion by clicking the Delete button in the warning dialog box. This will delete ALL quarterly information and ALL employees entered for that company.

    2. Quarterly Information

      1. The company name, calendar quarter and year for the current company is shown. Use the arrow buttons to move through calendar quarters. Use the Find button to locate a company by name. Use the Detail button to scroll through multiple companies while viewing all data.
      2. To add a new quarter, click the Add button next to the current quarter and year. Most information will be rolled over from the previous quarter. Enter new data and any changes to be reported. Click the Save button when finished.
      3. You may update quarterly information by clicking the Update button next to the current quarter and year.
      4. To delete the current quarter, click the Delete button next to the current quarter and year. Confirm the deletion by clicking the Delete button in the warning dialog box. This will delete that quarters company information. Employee information is not changed or deleted. Note: if this is the ONLY quarter entered, it will delete the entire company--ALL quarterly information and ALL employees entered for that company.

    3. Employee Information


      1. The employee name and Social Security Number for the current employee is shown. Use the arrow buttons to move through employees in the current company. Use the Find button to locate an employee in the current company by name. Use the Detail button to scroll through multiple employees while viewing all data.
      2. To add a new employee, click the Add button next to the current employee's social security number. Enter the new employee's information. Click the Save button when finished.
      3. You may update employee information by clicking the Update button next to the current employee's social security number.
      4. To delete the current employee, click the Delete button next to the current employee's social security number. Confirm the deletion by clicking the Delete button in the warning dialog box. This will delete that employee only.
      5. You may enter employee wage data for all the employees in a company by using the Enter Employee Wages for this Quarter button.

    4. Reports

      1. Click Preview or Printer to select the destination for the report.
      2. Click one of the report buttons.
      3. If you selected printer a dialog box to choose the printer will appear.

    5. Utilities

      1. Pack/Re-index - Use this to pack database files after deleting information or doing annual processing.
      2. Start New Year - Use this button to start a new year for the current company. See Annual Processing for details.
      3. System Values - Use this button to edit the system variables: Wage Limit, Penalty Percentage, Penalty Dollar Amount and Export Directory.

    6. Archives - Click the Archives check box to view archived data from previous years.

  4. QUARTERLY PROCESSING
    1. Reporting
      1. Check information to make sure it is correct.
        1. Preview Wage Form 20 and Wage Form 26 and check accuracy.
        2. Make updates where necessary.
      2. Print Wage Form 20 report for each company.
      3. Export company data to diskettes - Use the Export button to create files on diskettes to be sent to the Department of Labor. Three files will be created on each diskette needed.
    2.  Report Submission
      1. Idaho Department of Labor needs the Tax020 form and the diskette(s) (created with export). Either the original form mailed to you or the Wage Form 20 generated by this application is acceptable for submission. If you send the original form, please check the box above the signature line that you submitted diskette.
      2. Diskette(s) must be labeled in the following manner:

        First diskette:
            Name & Account No.
            Quarter & Year Line
            5 Gross Wages
            Contact Person & Phone No.

        Mail To:
            Attn: Cashier
            Idaho Department of Labor
            317 West Main St.
            Boise, ID 83735-0610

        **Diskettes are not returned**

      3. Start a New Quarter - Use the Add button next to the current quarter and year to start a new quarter for the current company.

  5. ANNUAL PROCESSING
    1. Starting a New Year - After finishing the quarterly processing for the fourth quarter of a year, use the Start New Year button to begin a new one.
      1. All current information will be archived.
      2. The last available quarter information (usually the 4th) will be copied to the first quarter of the next year.
      3. All employee data for the company will be updated to the new year.
      4. All employee wage information will be zeroed.

    2. Adding, Updating & Deleting
      1. Update the new quarterly information as necessary.
      2. Delete any employees who left the company the previous year.
      3. Add any new employees.
      4. Update any employee records necessary.

    All functions are available through the pull down menus as well as through the Browse Window.

  7. HELP
    1. You can use any of the help buttons to get help on a particular area.
    2. Press F1 to get context-sensitive help.
    3. Use the Help Menu.
